Assistant to the Founding Management Board (f/m/d)*
As Assistant to the Founding Management Board (f/m/d), you are a vital part of the administrative team within the Office to the Board, ensuring smooth daily operations at the university's senior leadership level.
While the Assistants function as a cohesive team providing mutual support, each role has a specific focus. In this position, your dedicated focus area is supporting IT:U’s Founding Directors.
Your tasks and responsibilities:
- Proactively structure the daily organizational workflow, manage administrative matters, and handle inbox and calendar coordination with the autonomy to independently schedule non-conflicting meetings
- Plan, organize, and manage business travels
- Facilitate communication with internal stakeholders while balancing and understanding competing priorities
- Coordinate, prepare, and host meetings with external stakeholders, ensuring a first-class experience for guests and partners during onsite appointments
- Work in close and proactive collaboration with other Assistants in the Office to the Board, ensuring reliable holiday and sick leave coverage
- Depending on your skill set and interest, potentially support the implementation of strategic projects, assuming special tasks, and prepare Board Briefings as needed
Your strengths and skills:
- Experience in back-office support for senior executive positions; C-level support experience and/or experience in a university-related environment is of advantage
- Proficiency in MS Office (especially Outlook and SharePoint)
- Familiarity with CRM tools like HubSpot is considered a plus
- Highly structured, proactive, and "hands-on" approach with a strong sense of initiative and flexibility
- Team-oriented mindset combined with resilience, loyalty, and absolute trustworthiness when handling confidential information
- Fluent in German and English (minimum level C1)

Competitive compensation starting from € 50.400 yearly gross salary.
