Research Cluster Coordinator (f/m/d)*

In this new role, as Research Cluster Coordinator (f/m/d), you will build a crucial link between our newly formed Resarch Clusters (that consists of our Professors) and our Office to the Board and Central Services division to enhance our operational efficiency. You will moreover provide hands-on support to our Cluster Speakers and Professors, ensuring smooth daily operations and continuous process improvement in close collaboration with the Head of Research Operations. 

Your tasks and responsibilities:

  • Support our Cluster Speakers in the planning and execution of Cluster activities, including meetings, agendas, decision-making, and follow-ups.
  • Serve as the first point of contact for professors on operational tasks such as HR/finance processes, procurement, travel, and facilities, ensuring full alignment with institutional policies.
  • Contribute to defining and developing faculty support services such as onboarding workflows, designated admin processes, and liaison with Central Services.
  • Improve processes and tools based on recurring issues (e.g. checklists, workflows, templates) and clarify handoffs, in collaboration with relevant units.
  • Maintain concise process documentation and regular status updates for all relevant stakeholders.

Your strengths and skills:

  • University degree (PhD preferred) and a strong understanding of academic structures.
  • Experience in coordination, operations, or project and process management within an academic environment.
  • Excellent communication and interpersonal skills, with the ability to navigate confidently across different organizational units and seniority levels.
  • Proactive, hands-on, and service-focused, with strong problem-solving, planning, and execution skills, and keen attention to detail.
  • Proficiency with digital collaboration and workflow tools, including the ability to produce clear guidance and process documentation.
  • High proficiency in English (minimum Level C1), German skills are a plus.
